Receiptor AI is an automated receipt and invoice collection, extraction, categorization, and archiving tool for bookkeeping scenarios. Its core goal is to make the entire process run automatically from the moment receipts and invoices arrive at a business until they enter the accounting system, reducing the last-minute rush of month-end organization and tax season.
Main capabilities
-
Automatic capture from multiple sources: It can connect to Gmail, Outlook, any IMAP mailbox, WhatsApp, and iMessage to automatically find emails, attachments, or links containing financial documents. Other files can also be uploaded directly or in bulk.
-
Document data extraction: It extracts vendor, date, currency, total amount, tax amount, document number, and, when available, line items from receipts and invoices. It supports any language and currency.
-
Categorization and entity matching: It categorizes documents based on the business and accounting settings provided by the user, against the business's own chart of accounts. It supports multiple legal entities and can automatically identify which legal entity each document belongs to, even if they share one inbox. Each entity can be assigned its own Xero, QuickBooks, or custom chart of accounts.
-
Output and archiving: Documents can be published to Xero or QuickBooks, with the original documents attached; they can also be organized into Google Drive or Dropbox, forwarded by email, or exported as CSV, PDF, or ZIP files.
-
Proactively ask when uncertain: When the business purpose of a receipt is unclear and it cannot be confidently categorized, Receiptor does not guess; instead, it sends targeted questions via WhatsApp or an in-app review queue, such as who a given expense was incurred for, which customer it belongs to, or whether an ambiguous expense should be archived. The user's answers are saved with the document and used to complete categorization and guide future decisions.
-
Retroactive extraction: It can scan earlier periods to recover receipts and invoices that have already been received, then continue automatically collecting new documents. A single run can backfill records from months or even years earlier.
-
Automation rules: They can run when documents arrive or on a schedule to perform categorization, set fields, archive, store, notify, and export, without repeated setup. Entity information can be used for filters and automation rules.
How to use
After connecting sources, Receiptor automatically finds and extracts data from financial documents, assigns the correct business entity, and categorizes against the chart of accounts. After processing is complete, users can publish the results to Xero or QuickBooks, or output them to Drive, Dropbox, email, CSV, PDF, ZIP. Users can also upload files directly or supplement documents via bulk upload. For situations requiring human judgment, users can answer questions in the app or via WhatsApp, and the workflow will continue with that context. Users can also use the MCP server to let supported AI tools such as Claude, ChatGPT, Cursor, n8n, etc., process receipts and invoices through approved Receiptor capabilities. Receiptor also provides a Claude plugin that can generate a monthly draft package based on saved document requests, including spreadsheets of documents, totals, and review questions, available original files and a missing list, as well as handoff notes explaining gaps and pending items. This monthly package skill is still in testing, and users or accountants need to review the draft before use.
Use cases
- Business owners and finance teams: operate one or more businesses and want documents to flow automatically from various sources into the correct books, avoiding last-minute scrambling at tax time.
- Accountants and bookkeepers: no longer chase clients for missing documents and start each reconciliation from cleaner records with original receipts or invoices attached.
- Multi-entity management: manage a company and subsidiaries, stores and rental portfolios, or multiple client entities without manually sorting a shared inbox. Receiptor automatically matches entities and applies that entity's accounting context for routing.
- Backfilling historical records: retroactively extract receipts and invoices from previous months or years so that accounts are more complete from the start.
Security and privacy
Receiptor does not move, delete, or modify users' emails, and irrelevant email content is not stored. Google API data processing follows the Google API Services User Data Policy, including Limited Use requirements. Security controls are built into the document workflow, protecting sensitive financial information from extraction to export. Receiptor previously completed a CASA Tier 2 assessment through the App Defense Alliance, but security assessments are point-in-time reviews, so an expired assessment is not displayed as a current certification. The latest security review materials can be obtained by contacting us.
Limitations and notes
The monthly package skill is still in testing and requires human review before it can be used for books. Some features such as pricing, specific supported countries or regions, and paid plans after the free trial ends are not clearly stated in the materials and are not provided for now.
