OffBooks is an AI financial agent positioned as "built for business owners, not for accountants." It is designed to help business owners who need to manage their business finances themselves track profitability and cash flow in real time without getting caught up in traditional bookkeeping processes.
Purpose
Traditional accounting software records numbers, but it does not tell business owners what drives revenue, profit, or cash flow. OffBooks uses AI agents to automatically handle invoices, expenses, and accounts, and provides a real-time financial view, so users spend less time digging through reports and more energy on decisions. The core goals can be summarized as: grow revenue, reduce costs, and reclaim time.
Main Capabilities
- Automated bookkeeping: AI agents handle bookkeeping work in the background, can run from day one, and setup takes only a few minutes.
- Invoice and expense management: Supports scanning Gmail for invoices, pulling invoices from connected tools, asking relevant people for missing information via Slack, and also allows manual file uploads.
- Bank and credit card reconciliation: Reads uploaded bank and credit card statements, marks each transaction as cash inflow or outflow, and performs reconciliation.
- Multi-currency conversion: Supports customers paying in one currency and tools billing in another, ultimately presenting everything in a clear unified view.
- Real-time financial view: Tracks every transaction, connects financial data points, and shows what drives revenue, profit, and cash flow.
- Financial reporting: Users can ask the agent to create customizable financial reports to quickly understand cash flow and profit status and their drivers.
- Slack-native integration: The agent interacts with the team in Slack, can set team access permissions, request statements and expenses from the right people, organize reimbursements, answer financial questions, and remind users when needed.
- Automatically generated views and tags: Automatically builds views that match how the business operates based on transactions, and automatically generates tags to organize transactions, with no manual categorization required.
- Anomaly detection: Flags duplicate transactions, discovers missing statements, identifies unknown entities and asks about their attribution, and fills in missing details.
How to Use
Users first set up their own bookkeeping agent and can name the agent. The agent obtains data through the following channels: Gmail scans invoices and receipts, pulls invoices from paid tools, asks the team for information via Slack, and reads uploaded bank and credit card statements. Transaction data is automatically categorized as cash inflow or outflow and linked to entities such as customers, suppliers, and team members. Users can ask the agent questions directly in Slack, for example asking about the previous quarterSaaS spending, or ask it to create financial reports. The agent only takes action when instructed by the user, and will ask the user for confirmation regarding suspected duplicate transactions.
Applicable Scenarios
Suitable for various business owners who need to keep their books clear while also running their business, including marketing agencies, independent wealth managers, freelance B2B SaaS designers, retail, trade, and service businesses. Especially suitable for entrepreneurs who are still reconciling invoices, looking for receipts, and distinguishing business from personal expenses in the afternoon.
Limitations and Notes
OffBooks replaces manual administrative work, such as chasing invoices, organizing expenses, and keeping accounts up to date. For tax filing or formal compliance sign-off, users may still need a professional. The agent frees users from relying on an accountant to understand the true state of the business, but does not replace professional compliance services. Regarding specific pricing, free trials, platform compatibility details, etc., the materials do not currently provide them.
