Sortio

Sortio is an AI file organizing desktop app that supports Mac and Windows. Users only need to describe their organizing needs in natural language, and Sortio can read the contents of each file, generate a standardized name for it (such as YYYYMMDD - Vendor - $Amount or LastName, FirstName), and file it into the correct client, matter, or property folder; if the target folder does not exist, Sortio will automatically create it.

• Automatic organizing: Set a folder once, and Sortio automatically routes every new file to the correct location by client, project, or category.
• Smart suggestions: Provide organizing suggestions based on past organizing patterns and content analysis.
• Secure activity log: Record detailed information about every file move, including time, source, and destination path; the log is stored locally and can be exported for compliance review.
• Community rule packs: Browse and import rule packs customized by profession, so lawyers, students, designers, and others can get started quickly.
• Multilingual: The full app supports English, Simplified Chinese, Traditional Chinese, Korean, German, Spanish, and French, and can read and organize documents in multiple languages.

How to use After downloading the app, sign in with your email (password-free, via email link). Drag a folder into Sortio, describe your organizing needs in natural language, Sortio generates an organizing plan, and after you preview and approve it, it executes; all moves can be undone. The Pro version can be upgraded in-app, and the Team version is checked out via the web.

• Lawyers: Organize large numbers of files by client, matter, and county, automatically rename them, and route them to the correct folders.
• Real estate agents: Organize hundreds of MLS photos, drone photos, and transaction documents into folders by property address.
• Small and medium business back officeor bookkeepers: group by supplier and year, distinguish payroll from invoices, and keep existing client subfolders.
• Independent consultants or founders: route files to the correct client or business entity based on content, and rename deliverables by project name.
• Engineering or AEC project managers: organize CAD drawings, change requests, BOQs, and meeting minutes by project phase and discipline.
• Personal archive organization: organize family photos by year and event, and file tax and home-building documents into the corresponding year folders.

Privacy and deployment File indexing, content extraction, and rule-based organization run locally. During AI organization, file names and folder paths are sent to the provider selected by the user (by default, official cloud OpenAI); unless content-based features are enabled, file contents remain on the device. Users can choose local mode (Ollama) or bring their own API key. When official hosted AI is enabled, content is cleared on a rolling 30-day basis. Every file move, rename, and rule application is logged locally, and logs can be exported for compliance review.

Pricing A free version is available, including a one-time AI trial quota, unlimited rule-based organization, up to 5 rules and 3 Spaces, community rule packs, preview before applying, organization history and undo, local LLM / BYOK, and more. The Pro version is about $8.25/month (annual billing, saving 45% compared with $14.99 monthly), including a monthly AI quota, up to 5,000 files per run, unlimited Spaces and automation, knowledge graph indexing, automatic renaming, commercial license, and more. The Team version is $29/seat/month (annual billing, including 2 months free), including all Pro features, double the AI quota, team workspaces, shared automation, an admin console, and more. The Enterprise version offers volume licensing (25+ seats), centralized billing, and priority support. All plans encrypt data in transit and at rest.

Limitations The free version has limits on the AI trial quota and the number of rules/Spaces; AI organization uses cloud OpenAI by default and will see file names and metadata; for fully local processing, local mode must be configured.
