Purpose
ProviderOps is software for small Australian NDIS service providers, designed to integrate scheduling, service records, and billing into one workflow. It helps providers manage participants, schedule workers, record progress notes and travel information, and turn completed shifts into invoices without piecing together information across multiple systems.
Key Capabilities
- Scheduling and participant management: Build a clear weekly schedule around participants and their regular services, with day, week, and month views; participant default settings reduce repetitive administrative work; shift and approval statuses are clearly visible. Rates, support items, and instructions follow the shift rather than relying on personal memory.
- Worker view and service records: After logging in, workers see only the work they need for the day. Starting and ending shifts is simple, and a single completion page allows recording actual time, kilometers, and progress notes. Structured text notes are saved together with actual time and travel information and linked to the participant, and workers can review the final record before completing the service.
- Turning services into invoices: Centrally review completed services and identify missing notes, rates, service items, or dates; supports unified review and approval of completed services. Invoice records retain quantity, rate, and status, and provide duplicate protection to prevent the same shift from being invoiced twice.
- Roles and team: Can be used as an independent support worker, and as the business grows, invite coordinators and workers to join. Provides owner, manager, and worker roles, invite workers by email, and the worker mobile view shows only assigned shifts and necessary participant information.
How to Use
- The free plan supports invoicing with no time limit; each account first gets a full 7-day trial, then switches to the free plan: up to 3 active participants, unlimited invoices, no credit card required.
- Paid plans start at A$29 per month (Australian dollars, excluding GST), offering fixed-price plans with no per-user fees and no minimum team size. Choose the Solo plan when scheduling, shift notes, and reminders are needed; teams that need to invite workers to join must choose Small Team or a higher plan. Paid plans all include unlimited participants.
- Supports PDF and email invoices, invoice history retention, invoice reminders, and NDIS claim CSV export.
- Provides a demo process of about 60 seconds, with no registration and no real records required.
Use Cases
- Independent support workers and sole traders.
- Small teams that need to replace scattered schedules and spreadsheets.
- Providers that need to scale their team and role division without introducing enterprise-level complexity.
Limitations
- The official website clearly states: not yet incIncludes direct PRODA submission, payroll, and real-time accounting integration.
- Does not claim real-time connections with Xero or MYOB; invoice PDF and CSV export are currently available.
- Billing checks help identify missing or anomalous information, but do not replace each service provider's compliance responsibilities.
- Demo records are clearly labelled; verified supported project data can be imported later and version-managed.
- All prices are in Australian dollars and exclude GST; no setup fees, no feature add-ons, and no credit card required to get started.
