Overview
Turn reflection from "a heavy task of self-examination" into "a habit of lightly looking back in 5 minutes." It helps you organize what went well and what was regrettable on a weekly, monthly, or yearly basis, and goes as far as deciding one next action. It prioritizes a minimal format you can use consistently over an elaborate one.
Trigger Keywords
reflection, weekly reflection, year-end reflection, KPT, one-line reflection, keyword reflection, looking back, weekly review, reflection template, 1p reflection, quarterly reflection
Workflow
Step 1: Decide the reflection cycle and purpose
First, lightly establish what the reflection is for.
| Cycle | Suitable Situation | Recommended Format |
|---|---|---|
| Weekly | Briefly check the flow every week | One-line reflection / simplified KPT |
| Monthly | Check patterns on a monthly basis | KPT / keyword reflection |
| Quarterly | Midpoint check against goals | KPT + goal progress |
| Yearly | Wrap up the year and prepare for the next | Keyword reflection / 1p year-end reflection |
→ The key is not a "perfect record" but a "consistent record." Choose a format that finishes within 5 minutes.
Step 2: Choose a reflection format
Choose one of the three formats that fits the situation.
- KPT:
Keep(What went well and should continue) ·Problem(What was regrettable) ·Try(What to try next) in three parts. It is the most safe for work reflection. - One-line reflection: "If you summarize this week in one sentence?" + "If you change just one thing next week?". It is the least burdensome.
- Keyword reflection: Pick 3-5 words that represent the year and attach a short story to each keyword. It is suitable for the year-end.
Step 3: Fill it in with questions
Fill it in by attaching easy-to-answer questions to the chosen format.
- What went well: What moments or achievements were satisfying during this period?
- What was regrettable: What would you have done differently if you did it again?
- What you learned: What did you newly learn, and what attitude changes occurred?
- Next action: If you change just one thing in the next period, what will it be?
→ Do not assign scores or grades to the questions. The purpose is observation, not evaluation.
Step 4: Derive one next action
So that the reflection does not end as just a record, be sure to one next actiondecide on.
- Instead of abstract ("work harder"), be specific ("Wednesday morning is meeting-free focus time")
- Do not decide too many — 1-2 at a time is enough
- → The derived action is
productivity-goal·productivity-habithanded over to and connected to practice.
Step 5: Make reflection a routine
- Weekly: Fixed 5 minutes before leaving work on Friday or Sunday evening
- Annual: In December, keyword reflection + next year's goals →
productivity-goallinked - Recording location: Gather and stack in one place such as Notion or a memo app →
doc-notion-templatelinked
Usage examples
Example 1: "I want to reflect lightly on this week" → Present a one-line reflection + one thing to change next week format, with questions attached so it can be filled in within 5 minutes
Example 2: "The team sprint is over, so organize the reflection with KPT" → Keep/Problem/Try three columns + guiding questions for each column → derive 1–2 next Try items
Example 3: "I want to look back on this year, but I don't want it to be only self-reproach" → Keyword reflection (3–5 words of the year) + the story behind each keyword + one thing to carry into next year
Deliverables
- Reflection formats suited to the cycle and purpose (KPT, one-line, keyword)
- A set of guiding questions that are easy to fill in
- 1–2 next actions
- Reflection routine suggestions (fixed time, recording location)
Precautions
- Reflection is not evaluation or self-blame. Its purpose is not to find fault but to decide what comes next.
- If the format is heavy, you won't use it — start with a 5-minute format and grow it slowly.
- If you decide on too many next actions, you won't put them into practice. Narrow it down to 1–2.
