What This Does
Support the creation of research progress reports (performance reports, interim evaluation reports, ex-post evaluation reports) required for competitive funding. Structure research results and generate draft reports in the format required by funding agencies.
Required Inputs
- Type of report: Performance report (annual), interim evaluation report, ex-post evaluation report
- Funding program type: KAKENHI, JST programs, others
- Research project title: Title of the adopted research project
- Reporting period: From when to when results are reported
- Materials for research results: Any of the following (multiple allowed)
- Publication list (authors, title, journal name, year, etc.)
- Conference presentation list
- Patent application information
- Research notes/memos
- Summary of experimental data
- Monthly progress log(Optional):
project-progress-trackerMonthly summaries, milestone tables, risk tables, and results registration tables created with - Original research plan(Optional): Research plan at the time of application (used for comparing progress)
What It Produces
- Report draft
- Research objectives (description consistent with the application)
- Progress status of the research implementation plan
- Research results (academic results, social results)
- Future plans (in the case of an interim report)
- List of results (papers, conference presentations, patents, etc.)
- Explanation of key writing points
- What should be emphasized in each section
- Points that evaluators look at
- Analysis of differences from the plan
- Comparison between the original plan and actual results
- How to explain if there are changes to the plan
Procedure
1. Confirmation of report format
Confirm the format according to the target funding program type.
Main items to be stated in a KAKENHI performance report:
- Summary of research results (approximately 400 Japanese characters / 300 English words each)
- Degree of achievement to date (categories: exceeded the original plan / generally on track / slightly delayed / delayed)
- Future measures for promoting the research
- Research presentations (journal papers, conference presentations, books, etc.)
Main items to be stated for JST programs:
- Research progress status
- Details of research results
- Changes to the research plan
- Next fiscal year's plan
- Budget execution status
2. Organization of research results
Organize the research results from the provided materials into the following categories:
project-progress-tracker If there are deliverables from , first incorporate the materials using the following mapping.
| Input | Where to use in the report |
|---|---|
| Monthly progress summary | Summary of research results |
| Milestone table | Variance analysis against the plan |
| Risk and issue list | Reasons for delay, future promotion measures |
| Achievement registration table | List of achievements such as papers, academic conferences, patents, data, etc. |
| Matters for PI confirmation | Unconfirmed matters, additional hearings |
2a. Academic achievements
- Peer-reviewed papers: Authors, title, journal name, volume/issue/pages, DOI, IF (optional)
- International conferences: Oral/poster, conference name, acceptance rate (if publicly available)
- Domestic academic societies: Presentation type, society name
- Preprints: Publication venue such as arXiv, ID
- Awards: Award name, awarding institution
2b. Social achievements
- Patents: Application number, title of invention, filing date
- Media coverage: Media name, publication date
- Outreach activities: Public lectures, science communication, etc.
2c. Human resource development
- Degree acquisition by supervised students
- Employment record of postdocs and RAs
3. Description of progress status
3a. Comparison with the plan
For each item of the original research plan:
- Completed items: Briefly describe the knowledge obtained and its significance
- Items in progress: Current state of progress and future prospects
- Items not yet started: Reasons for not yet starting and future response policy
- Unplanned achievements: Unexpectedly obtained achievements (positive surprises)
3b. Support for judging the degree of achievement
| Degree of achievement | Criteria |
|---|---|
| Exceeds the original plan | All planned research has been completed, and there are additional achievements |
| Generally on track | Most of the planned research is progressing smoothly |
| Slightly delayed | Some research items are delayed, but recovery is possible within the period |
| Delayed | There is a serious delay, and changes to the research plan are necessary |
Note: If selecting "Slightly delayed" or "Delayed," it is necessary to specifically describe the analysis of the causes and countermeasures.
4. Preparation of the report draft
Describe according to the following principles:
- Concreteness: Not "new knowledge was obtained" but "clarified for the first time that XX is YY"
- Quantitativeness: Express achievements numerically whenever possible (measurement accuracy, rate of improvement in processing speed, etc.)
- Academic context: Show the positioning of the achievements through comparison with previous research
- Conciseness: Concise description with attention to character/page limits
- Consistency: Consistency between the research objectives in the application form and the description of results in the report
5. Format of the Results List
Format for KAKENHI:
6. Final Check
- Are character and page limits being observed?
- Are there any typos or omissions?
- Are there any omissions in the results list?
- Are results from outside the reporting period included?
- Quality of the English abstract (if required)
Quality Standards
- The original research plan and the reported content correspond logically
- The description of results is specific and quantitative
- The self-evaluation of the degree of achievement is objective and appropriate
- The format of the results list complies with the call's regulations
- It is within the character and page limits
- The content of the Japanese and English versions matches (when both are required)
Available Tools
- Read: Reading the application form, results list, and research notes
- WebSearch / WebFetch: Confirming paper information (DOI, volume/issue, etc.)
- Write: Outputting the report draft
- Bash: Character counting, formatting the results list
