About this skill

When to Use

This skill is activated when the user requests onboarding.

Trigger Keywords

  • "Start onboarding" / "Continue onboarding" / "Let's continue"
  • "onboarding" / "start helper"

Note

  • Since the voice output rules are already applied in the RVA system prompt, this skill handles only the onboarding flow.

Language Settings

  • Respond in the user's language. If the user speaks English, proceed in English; if the user speaks Korean, proceed in Korean.
  • The script examples below are based on Korean, and for English-speaking users, the same content is conveyed naturally in English.

Onboarding Philosophy

"Minimize clicks, maximize value"

  1. Understand and adapt to the user's existing environment first
  2. Once connected, it should be organized automatically
  3. Experience the value of knowledge sharing through community participation
  4. Essentials first, the rest gradually revealed through Post-boarding
  5. If the user cannot choose, choose for them

The user is not learning complex concepts, but experiencing value. At each step, first show "if you do this, this good thing will happen," and guide the action as simply as possible.

Term Explanation Guide

So that beginner users do not feel confused by technical terms, when each term first appears, say it together with a Korean substitute word and an analogy. If the user seems to already know it, the analogy may be omitted.

Term Korean Substitute Word Analogy When to Use
Ingest Import Gathering scattered materials in one place Step 1 Opening
Index Auto-organize/List Library catalog Step 2 Opening
DRB Morning News Briefing A collection of news on topics of interest every morning 2-1
Sync Profile disclosure Business card exchange When syncing BRAIN.md

Pre-boarding (Onboarding Entry Conditions)

Before starting onboarding, the conditions below must be completed. These steps are not included in the onboarding flow and are guided separately.

  • Gobi Desktop installation complete
  • Signed in with a Google account
  • Main vault creation complete

Response When Pre-boarding Is Incomplete

  • User: "I'll start onboarding" (vault not created)
  • Agent: "To start onboarding, you first need to create a vault. A vault is a space that holds your knowledge. Please click Create New Vault and make one. Once you've made it, say 'Start onboarding' again."

Opening Greeting

Agent Welcome Script

Hello! Let's start onboarding. From now on, it proceeds in four steps, and if you do only the required steps, ten minutes is enough. First, as you create a profile, you connect materials, set up automatic organizing, join the community, and finally try it out yourself. Shall we start right away?

User response scenarios

A. Start right away

  • User: "Yes" / "I'll start"
  • Agent: "Great! Then let's start from the first step."

B. Request explanation first

  • User: "What is this?" / "Please explain first"
  • Agent: "Gobi Desktop is a tool that lets you gather, organize, and share your knowledge. If you collect things like notes, files, and emails in one place, the AI automatically organizes them, and later when you ask anything, it answers based on your materials. Shall we start when you're ready?"

C. Some already completed

  • User: "I've already done ingest"
  • Agent: "Ah, you've already proceeded! Let me check how far you've gotten. One moment please."
  • (After checking progress status, continue guidance from the relevant step)

Step 1: Identify user & ingest

Agent opening

The first step is connecting materials. First, I'll identify who you are and connect things tailored to you. By the way, all materials are stored only on your computer. They don't go outside, so don't worry. Do you happen to have a personal homepage or blog?

1-1. Identify user

(If you have a homepage/blog) If you give me the address, I'll automatically fetch it and create a profile for you. (If not) That's okay. Briefly tell me what field you work in and what your interests are. Let's create a profile together.

User response scenarios

A. Has homepage
  • User: "My blog address is example.com"
  • Agent: "Great! I'm fetching it now. Please wait a moment." (Background processing, notify when complete)
  • BRAIN.md Update: Profile information extracted from the homepage (name, affiliation, field of expertise, interests, etc.) is BRAIN.mdreflected in
  • Agent: "Your profile has been created! Check it on the screen. If there's anything to edit, please let me know."
B. No homepage
  • User: "I don't have one"
  • Agent: "That's okay. If you tell me what work you do, or what field you're interested in, I'll create a draft profile for you."
  • BRAIN.md Update: The information the user provided (occupation, interests, etc.) is BRAIN.mdreflected in

Follow-up question guide (goal: secure at least 3 pieces of information: occupation/role, field of expertise, topics of interest):

  • If only occupation was provided: "Could you tell me a bit more about what field you work in? For example, if you have an area of expertise or topics you mainly deal with."
  • If only interests were provided: "Great! Could you also tell me your occupation or what you do? It will make your profile richer."
  • If too broad (e.g., "IT"): "So you're in IT! Could you tell me more specifically what field? For example, there could be development, data, security, and so on."

1-2. Asking about information sources

Now that your profile is ready, please tell us what kind of information you usually use a lot. What information would you like to put into the vault?

User response scenarios

A. User with a lot of information in Google
  • User: "I mainly use Mail and Calendar" / "I have a lot of materials in Google Drive"
  • Agent: "Then connecting Google Workspace is perfect. You can connect Calendar, Mail, and Drive all at once. Shall I open the Google integration settings for you?"
  • (Google Workspace setup guide)
B. User who uses a note app
  • User: "I'm using Apple Notes" / "I have materials in Notion"
  • Agent: "There's a tool that can import your existing notes. It's called Obsidian Importer, and it can bring in materials from Apple Notes or Notion all at once. Shall we connect it now?"
  • (Obsidian Importer guide)
C. Web-centered user
  • User: "I collect a lot of materials from the web" / "I like reading articles"
  • Agent: "Then web clipping is perfect. If you save the address of a webpage you're interested in, Ingest/Clippings The original Markdown is saved in the folder. Then the IC Worker automatically summarizes and organizes it and puts it into AI/Summary. Shall we practice first with a good article related to PKM?"
  • Agent: "There are good articles about the concept of a second brain. Shall we pick one and try clipping it?"
  • (Present one of the example articles below to encourage a clipping experience)
  • (Obsidian Web Clipper will be introduced further in Post-boarding)

Example articles (second brain topic):

D. User with documents
  • User: "I have files" / "I want to add documents" / "I have PDFs"
  • Agent: "Great! You can add documents right away. I'll open the documents folder for you now."
  • (Ingest/Documents Opening the folder)
  • Agent: "Please drag and drop files into this folder. If you add documents such as PDF, Word, or EPUB, EDM will automatically convert them to Markdown."
  • (The EDM prompt automatically handles Markdown conversion)
E. User who is not sure
  • User: "I don't know what to add"
  • Agent: "I'll pick one for you. The easiest is connecting a folder. You just need to connect one documents folder on your computer. You can add more later, so feel free to start without pressure."
F. Confusion
  • User: "What is ingest?"
  • Agent: "Think of ingest as 'importing.' It's gathering your scattered materials into one place. Once you connect it, whenever a new file is created, it gets brought in automatically."
G. Skip
  • User: "I'll do it later"
  • Agent: "You need to connect at least one so the AI can help you. The easiest is connecting a folder. Would you like to pick just one documents folder?"
H. Additional Questions
  • User: "Does my data go outside?"
  • Agent: "No, your data stays on your computer. Gobi just reads those files and organizes them for you."
  • User: "Can I connect multiple ones?"
  • Agent: "Yes, you can connect as many as you want. You can do just one now and add more later."

Update & Sync BRAIN.md

Reflect the user information identified in Step 1 into BRAIN.md (vault root).

Update contents:

  • profile_desc: Profile summary extracted from homepage/conversation (name, affiliation, field of expertise, interests)
  • In the body ## Welcome to My Second Brain section, write profile details

Sync suggestion (required checkpoint):

Must be suggested immediately after updating BRAIN.md. You may skip it, but the suggestion itself must always be made.

  • Agent: "If you sync your profile with the community, other experts can find you like exchanging business cards. Shall we sync?"
  • If the user agrees: .gobi/syncfiles에 BRAIN.md Add
  • If the user declines/does not respond: "That's okay. If you change your mind later, just say 'sync profile.' I'll move on to the next step."

Completion confirmation & transition

First step complete! Your materials are connected well. Next is automatic organization settings. It will make your materials organize themselves every day.

Step 2: Index Setup

Agent Opening

The second step is index setup. The AI automatically organizes the materials you connected. There are two options, and one is on by default.

Execution Guide

First, the Daily Roundup. It automatically summarizes and organizes newly added materials every day. This is on by default. Second, the Topic Index. It automatically categorizes by topic. This one is optional. I'll show you what the Topic Index looks like with an image.

![[Settings/Prompts/files/graph-example.png]]

This creates a knowledge graph connected by topic. Shall I show you what topics are possible for the Topic Index?

User Response Scenarios

A. Also set up Topic Index

  • User: "Yes, show me" / "I'll do the topic index too"
  • Agent: "After analyzing the connected materials, here are the topics I found." (display possible topic list)
  • Agent: "Please choose the topics to auto-organize from these. You can pick more than one."

B. Daily only

  • User: "I'll do just the daily" / "I'll use just the basic"
  • Agent: "Great! The daily roundup will run automatically every day. You can turn on the topic index anytime later."

C. Confusion

  • User: "What is an index?" / "Why do I need it?"
  • Agent: "Think of the index as a library catalog. If you just pile up materials, they're hard to find, right? With an index, if you say 'show me materials on this topic,' it finds them right away."

D. Skip

  • User: "I'll do it later"
  • Agent: "The daily roundup is on by default, so you don't need to worry about it. You can add the topic index later."

E. Unsure user

  • User: "I'm not sure" / "What should I do?"
  • Agent: "I'll choose for you. The daily roundup is already on, and for the topic index, it's better to turn it on later once some materials have accumulated. For now, I'll move on to the next step."

F. Additional question

  • User: "Does it run automatically?"
  • Agent: "Yes, once set up, it runs automatically every day. When new materials are added, it categorizes and organizes them on its own."

2-1. News briefing suggestion

There's one more thing I'd like to recommend. Every morning at five, it can automatically find the latest news and papers on your topics of interest and create a briefing for you. It's called a news briefing—shall we turn it on?

User response scenarios

A. Activate
  • User: "Yes, turn it on" / "Sounds good"
  • Agent: "Great! I've turned on the news briefing. Your first briefing will be ready tomorrow morning."
B. Decline/later
  • User: "Later" / "I don't want to"
  • Agent: "Got it. You can turn it on anytime later in settings."
C. Confusion
  • User: "What is a news briefing?"
  • Agent: "It automatically gathers and organizes the latest news on topics you're interested in every day. A news collection just for you is ready every morning."

Completion confirmation & transition

Second step complete! Now your materials are organized automatically. Next is community setup. You'll create a profile where you can share knowledge with other experts.

Step 3: Community setup

Agent opening

The third step is community setup. In the A4PKM community, you can share knowledge with other experts. Based on the profile you made earlier, let's create a community profile.

3-1. Create Community Profile

Based on the information identified earlier, I've created a draft community profile. Please check it on the screen. If there's anything you'd like to change, let me know.

User Response Scenarios

A. Smooth Progress
  • User: "Sounds good" / "That's fine"
  • Agent: "Perfect! The profile has been saved."
B. Request for Changes
  • User: "Please change this part"
  • Agent: "How would you like to change it? Let me know and I'll update it right away."
C. Confusion
  • User: "What is a community?"
  • Agent: "It's a space where experts with the same interests gather and share knowledge. You can share your expertise and also access other people's knowledge."

3-2. Select Sharing Topics

What topic would you like to share knowledge about in the community? If you tell me your interests or areas of expertise, I'll recommend related topics.

User Response Scenarios

A. Topic Selection
  • User: "AI-related topics" / "Marketing"
  • Agent: "Great! I've set the related topic. You can be active in the community with this topic."
B. User Who Isn't Sure
  • User: "I don't know what to choose"
  • Agent: "I'll choose for you. Looking at the materials brought in, [topic] is the most common. Shall we start with this topic?"
  • (The agent directly selects and suggests the single most suitable topic based on ingestion)

3-3. Check Additional Ingestion

Your community profile has been created! Is there any additional material you'd like to add to share in the community?

User Response Scenarios

A. Has Additional Materials
  • User: "Yes, I'll add this folder too"
  • Agent: "Great! I'm adding it." (Background processing)
B. No Additional Materials
  • User: "No" / "I'll do it later"
  • Agent: "Got it. You can add it anytime later. Let's move on to the next step."

Completion Confirmation & Transition

Third step complete! Your community profile is ready. Almost there! We'll wrap up in the final step.

Step 4: Wrap-up & First Experience

Agent Opening

This is the final fourth step! We'll review what you've set up so far and take time to ask the AI questions directly.

Execution Guide

Now the data is going into the vault. Shall we try asking a question? Anything is fine. For example, you could ask 'What data did I put in?' or ask about a field you're interested in.

User response scenarios

A. Smooth progress

  • User: (asks a question and receives an answer) "Oh, that's amazing!"
  • Agent: "Right? It finds answers from the data I've collected. The more data accumulates, the more accurate the answers become."

B. Confusion

  • User: "What should I ask?"
  • Agent: "Anything is fine. For example, 'What did I do last week?' or 'What do I know about this topic?' are good too. Feel free to ask."

C. Skip

  • User: "I'll try it later"
  • Agent: "Got it. You can ask a question in the chat window anytime."

D. Error occurs

  • User: "The answer is strange" / "An unrelated answer comes up"
  • Agent: "That can happen at first because there's little data. As you connect more data and time passes, it becomes more accurate."

Completion confirmation → Onboarding complete

You've completed all four steps! Great job.

Onboarding complete

Closing script

(All complete) Congratulations! You've completed all of onboarding! You created a profile, connected data, turned on auto-organizing, and even set up the community. Now Gobi Desktop is ready to help me every day.

(If some were skipped) Great job! I'll summarize what you completed today.

The agent specifically lists completed items and skipped items:

  • Summary of completed items: "Creating a profile, connecting data, daily roundup — these three are set up."
  • Skipped items + activation keywords:
    • Topic index: "Just say 'Turn on topic index'"
    • News briefing: "Just say 'Turn on news briefing'"
    • Community profile: "Just say 'Community settings'"
    • Profile sync: "Just say 'Profile sync'"

Post-boarding guide

There are things that would be good to set up additionally. First, installing Obsidian lets you manage your vault more conveniently. You can use it with just Gobi Desktop, but with Obsidian, editing and linking notes directly is much better. Second, installing the Obsidian Web Clipper lets you save articles you're interested in to your vault right from your web browser. I'll show you the web clipper settings screen.

![[Settings/Prompts/files/owc-config.png]]

If you're interested, please say 'Tell me how to install Obsidian'.

Suggest next steps

What would you like to do now? I recommend two things. First, check the Daily Roundup tomorrow morning. The materials you connected today will be organized there. Second, explore the community. You can meet other experts in your fields of interest.

Ongoing Support Guide

Whenever you need help, just say 'Help'. If you're curious about anything, ask away. I'll always be here. Have a enjoyable knowledge journey with Gobie!

Pipeline Progress Monitoring

During onboarding, after a pipeline such as EIC/EDM is triggered, _Settings_/Tasks/ track the progress through the task files in the folder.

Task File Structure

When a pipeline is triggered, _Settings_/Tasks/a task file is automatically created in:

  • Filename: YYYY-MM-DD {task_type} - {title}.md
  • Main Frontmatter Fields:
    • status: PROCESSING → PROCESSED / FAILED
    • task_type: EIC, EDM, GDR, TIU
    • output: Output file wiki link (e.g., [[AI/Summary/파일명 - EIC]])
    • generation_log: Log file link

How to Monitor

After triggering a pipeline, check in the following order:

  1. Detect Task File: _Settings_/Tasks/in the corresponding task_typepoll for the latest file (up to 120 seconds, 5-second intervals)
  2. Check Status: Read the status field in the frontmatter
    • PROCESSED → Success, output check the result file path in the field
    • FAILED → Failure, generation_logcheck the cause in
    • File not created → Pipeline not triggered (check file monitor or worker settings)
  3. Check Result File: output Verify that the file at the path actually exists

Use During Onboarding

Timing Pipeline Monitoring Target
Step 1: After Web Clipping EIC _Settings_/Tasks/*EIC* → AI/Summary/ Output
Step 3: After Adding PDF EDM _Settings_/Tasks/*EDM* → Ingest/Documents/*.md Output
Step 2: After Manually Running GDR GDR _Settings_/Tasks/*GDR* → AI/Roundup/ Output
Step 2: After Manually Running TIU TIU _Settings_/Tasks/*TIU* → Topics/ Output

User Feedback

When a pipeline completes, naturally inform the user:

  • Success: "The summary is complete! You can check it in the AI Summary folder."
  • Failure: "Something went wrong during processing. Shall we try again?"
  • Pending: "It's still processing. Shall we proceed with the next step first and check later?"

Async Progress Notification During Conversation

When a pipeline such as EIC/EDM takes a long time to process (5 minutes or more), naturally inform the user:

  • When Triggered: "It takes about five minutes. Shall we proceed with the next step first while waiting?"
  • When Complete: Notify naturally without interrupting the current conversation — "The materials you brought earlier are now organized! Check the AI Summary folder later."
  • Incomplete at Onboarding End: "The material you brought earlier is still being processed. Once it's complete, it will be automatically saved to the AI Summary folder."

Session Management

Pause & Resume

  • User: "I'll do it later" / "I want to stop"

  • Agent: "Got it. You've completed up to step N so far. Later, if you say 'Continue onboarding,' you can pick up from here. Great work!"

  • User: "Continue onboarding" / "Let's continue"

  • Agent: "Welcome back! Last time you completed up to step N. I'll continue from step N+1. Are you ready?"

Go back to previous step

  • User: "Go back" / "To the previous step"
  • Agent: "Which step would you like to go back to? I'll let you know the completed steps."
  • (Present list of completed steps, then select)

Check progress

  • User: "How far did we get?" / "Progress"
  • Agent: "Here's the progress so far." (Guide with progress bar displayed)

Request help

  • User: "Help" / "What can you do?"
  • Agent: "There are commands you can use. 'Continue' goes to the next step, 'Skip' skips an optional step, 'Redo' repeats the current step, 'Go back' returns to the previous one, 'Progress' shows how far you've gotten, and 'Pause' lets you continue later."

Image display guide

During onboarding, show the user the images below at the appropriate times. The images are _Settings_/Prompts/_files_/saved in.

Image Display timing Purpose Display condition
graph-example.png When explaining the topic index in step 2 Visually demonstrate the value of the index using a knowledge graph example Only if the topic index was not skipped
